We are seeking a Vehicle Build Coordinator to support bespoke vehicle projects in Woking. This position requires a detail-driven professional with a strong understanding of technical drawings, excellent communication skills, and proven experience in accurate data entry and build coordination.


The Role

As a Vehicle Build Coordinator, you will be responsible for translating unique customer specifications into detailed build instructions and documentation. Working closely with teams across engineering, sales, logistics, and production, you’ll ensure every vehicle configuration is delivered accurately, efficiently, and on time.


Key Responsibilities

  • Attend enquiry meetings for new vehicle and aftersales projects to capture and clarify customer requirements.
  • Manage the release of new vehicle orders to Sales Planning, ensuring timely scheduling and inclusion of all mandatory or phantom part requests.
  • Liaise across departments to translate customer requirements into detailed and accurate build specifications.
  • Populate and maintain service orders and tracking systems with the required operations and parts, ensuring alignment with agreed service levels.
  • Create, define, and maintain configurable parts within SAP, including the release of supplier technical drawings and planning data.
  • Oversee part strategy activities that trigger changes to the vehicle Bill of Materials (BoM), ensuring all bespoke content is correctly implemented.
  • Prepare supporting documentation such as paint strategies, End of Line documents, and Post Build Modification (PBM) instructions.
  • Carry out quality checks on service orders to ensure accuracy and uphold Right First Time (RFT) standards.
  • Identify, communicate, and assist with resolving risks or issues affecting build quality or delivery timelines.
  • Support workshop teams by ensuring After Sales Modification (ASM) and PBM specifications are clear and complete.
  • Perform accurate data entry and administration tasks, including maintaining SAP records, monitoring inboxes, and updating trackers.
  • Lead bespoke content preparation for designated vehicle series, becoming the subject matter expert for configurable parts.
  • Define templates and work packages for standard operations to improve efficiency and reduce lead times.
  • Identify and drive continuous improvement initiatives across build processes and documentation standards.

About You

The successful Vehicle Build Coordinator will be organised, methodical, and confident working in a fast-paced environment where precision and communication are key.

You’ll bring:

  • The ability to understand and interpret technical drawings with a strong attention to detail.
  • Demonstrable experience with data entry and data accuracy within technical or production systems.
  • Working knowledge of SAP (materials management, configuration, or BoM processes).
  • A proactive approach to issue resolution and continuous improvement.
  • Experience in bespoke, low-volume, or high-performance vehicle build environments (advantageous).

Please note, this role is deemed inside of IR35. The Umbrella Pay Rate offered is inclusive of the Assignment pay rate, holiday pay and Apex Recruitment’s contribution towards Employer Costs.
